The assistant can answer as your own bot

In a group, replies always used to carry our bot's name, and everyone in the chat saw somebody else's product. Now you can connect your own: each with its own name, avatar and reply profile.

Try it freeIn a direct chat the assistant has always answered in your name — there it works through your account. In a group it cannot: Telegram does not let a bot sign as a person. So the reply carried our name, and anyone in the chat could tap it and find out what you use.
Some people do not mind; for others it gets in the way. If you answer clients in your own chat, a stranger's brand under every reply is one thing too many. Now there is a way around it.
What changes
You create a bot of your own — it is free and takes a minute — and hand it to us. From then on it answers in your chats: with its own name, its own avatar and its own description. Nobody in the chat learns about HeadHack. You can have several bots; how many depends on your plan.
The assistant itself stays the same. The same calendar, the same drafts for approval, the same plan. What changes is the signature — and, if you want, the voice.
One bot, one profile
This is where it gets genuinely useful. The assistant has profiles — effectively different assistants inside one, each with its own knowledge base and tone. Normally the right profile is picked automatically, from the sense of the message. A bot, though, can be pinned to a specific profile — and then it always answers as that one.
So one bot becomes support and another becomes sales. Different names, different avatars, different answers. Without that pinning, several bots would just be several faces on one voice, and a second bot would make no sense.
How to connect one
- Open @BotFather and send it /newbot. It asks for a display name and a username, and at the end sends a long string like “123456789:AA…” — that is the token.
- In the app open “Settings”, scroll to the “Account” section and tap “Your bot”.
- Paste the string into the “Bot token from BotFather” field and tap “Connect bot”.
- In the bot's card pick a profile in the “Which profile it answers with” row — if you want to pin it to one.
- Add your bot to the groups you need, exactly as you would add ours.
- In the group's card choose “Your bot” in the “Who signs the replies” row.

Who signs the replies
Every group's card has a “Who signs the replies” row with three options. It is chosen per chat — you can keep your own bot in client groups and leave work groups as they were.

Only one of them ever answers. If both bots are in the group, the second simply stays quiet — otherwise every question would get two answers. The other ways to connect are covered in the article on choosing where the assistant answers.
What to know before you start
A bot token is full access to it: whoever holds it speaks in its name. We store it encrypted and never display it — not in the app and not in our logs. The app shows only the bot's name.
If the bot already has another program wired to it, we will not push that aside — we say so and name the address. We could switch the bot to ourselves silently, but then your working setup would break without a trace.
If the bot breaks
A token can be reissued in BotFather by accident — and then the old one stops working. The trouble is that this happens silently: Telegram simply stops delivering messages, and no error shows up anywhere.
So once a day we check every connected bot and, if one has gone quiet, we write to you directly. The same if the bot has been switched to another program. Otherwise you would hear about the breakage from your clients — that is, last.
If your plan runs out
The bot does not fall silent that same minute. For three days it answers as usual, and you get a message with the date straight away. After that it stops, but we keep the token: bring Plus back and it works again, with nothing to reconnect.
Common questions
How much does it cost to create your own Telegram bot?
Nothing. Bots in Telegram are free: you send @BotFather the /newbot command, choose a display name and a username, and it hands you a token immediately. The only paid part here is our Plus plan, where this feature can be switched on.
Will clients realise they are not talking to a person?
In a group, Telegram itself puts a “bot” label next to the bot's name — that cannot be hidden, it is the messenger's rule. What is hidden is something else: whose service you use. If you need the replies to carry your own name rather than a bot's, connect your account — then in direct chats the assistant writes as you.
What happens to my bot if I disconnect it in the app?
We stop receiving its messages and restore its previous settings if it was wired somewhere before us. The token is erased: there is no reason to keep somebody's access after disconnection. The bot itself stays yours and goes nowhere.
How many bots can I connect?
One on Plus, up to five on Pro. The point of several is the profiles: pin one to each and one bot becomes support, another sales, a third a separate brand. If the slots run out, disconnect one you do not need — a new one takes the freed slot immediately.
Can one bot be connected to two accounts?
No. A bot belongs to one owner: its messages arrive in one place, and there would be nothing to split them between two knowledge bases by. For a second account, create a second bot — the same half-minute in @BotFather.
